This article explains how to edit (modify) pay cheques created through QuickBooks Online Payroll.

Items that can be edited: Regular and bonus cheques; hourly pay types; additional pay types that are active; amounts of deductions that are active; income tax amounts; memo field. These items can be edited before the paycheque is created by hitting the pencil on the create payroll or preview payroll screens.

Items that CANNOT be edited: Salaried pay types; taxes with fixed percentage rates (such as Employment Insurance and Canada Pension Plan); garnishment amounts. These items need to be edited within the employee details screen before the pay cheque is created.

Editing an unapproved cheque:

To edit an unapproved pay cheque, click the pencil to the right of total pay on the Enter employee pay details screen. You can also edit the cheque on the Review and submit screen by hitting the pencil to the right of net pay.

Editing an approved cheque:

Once a cheque is created, there is no way to edit anything except the cheque number and memo fields. To change anything else, including hours or additional pay types, the cheque will need to be deleted and recreated as long as it is the employees most recent pay cheque. If the cheque that needs to be edited is not the most recent cheque, please contact customer service for more assistance.
